Skilled Nursing Facility Software Features Checklist

A skilled nursing facility software features checklist is a scored list of the capabilities your operations software must have, grouped by department, so you compare vendors on what they actually do instead of what their sales deck says. This one covers 37 features across eight departments. Each is tagged must-have, nice-to-have, or verify, with a line on what breaks if the feature is missing.

A skilled nursing facility (SNF) is a Medicare-certified facility that provides short-term rehabilitation and skilled nursing care. This checklist is vendor-agnostic. Use it to score any product, including ours.

Summarize with AI

Quick Summary

Evaluate SNF operations software department by department, in the order failures surface: admissions and eligibility first, staffing and records second, facility operations third. Score every feature on three levels: it exists, it is enforced, and it leaves a record you can retrieve. Tag each row must-have, nice-to-have or verify, and give every must-have a named owner. This list covers operations software only, not clinical charting, billing or payroll.

How to Use This SNF Software Features Checklist: Every Row Shows What Breaks Without It

Most feature lists tell you what a product has. This one tells you what fails if it does not. Every row carries one of three tags. Must-have means a gap costs revenue or creates survey risk. Nice-to-have means it saves time but nothing breaks without it. Verify means vendors often claim it, and the claim needs a live demonstration.

Sort your options by software category before you score anything. Skilled nursing software for operations (admissions, eligibility, scheduling, staff records, supplies, communications, maintenance) is a different category from an electronic health record (EHR, the system for clinical charting) or a billing system. Scoring all three on one list produces a winner that is mediocre at everything.

The sections run in the order failures surface. Admissions and eligibility failures appear before the resident arrives. Scheduling and record failures appear at claim review or survey. Maintenance failures appear in survey week.

Admissions and Referral Features

Admissions software should let your team make a clinical decision and an insurance decision on the same referral, tracked separately. Skilled nursing admissions software that merges the two into one status hides the coverage problem until the resident is in the bed.

Feature
Tag
What breaks without it
Separate clinical and insurance acceptance tracks
Must-have
A referral looks "accepted" while coverage is unconfirmed
Referral received date and time stamped
Must-have
You cannot prove or improve your response speed
Document completion tracking per referral
Must-have
Missing paperwork surfaces on admission day
Bed availability grid tied to referral status
Must-have
Staff promise beds that are already committed
Safety flags captured at intake
Verify
Behavioral or isolation needs reach the floor late

Most admissions checklists miss the timestamp. Referral sources often contact several facilities at once, so response time is part of your conversion. If your system cannot show how long each referral waited, you are guessing about your own admissions performance.

For the full process behind these features, see the six-stage SNF admissions process.

Eligibility Verification Features

Eligibility verification software confirms whether a payer will cover a stay before you accept the resident. Insurance eligibility verification software is where a missing feature costs real money, because the error stays invisible until the claim is denied.

If your eligibility check happens after admission, you are not verifying coverage. You are documenting a denial that already happened.

Feature
Tag
What breaks without it
Medicare Part A entitlement and benefit-day visibility
Must-have
You admit residents with exhausted or unavailable days
Medicare Advantage (MA) authorization fields captured at check
Must-have
The plan is active but the stay is not authorized
Medicaid managed care and Medicare Savings Program category shown
Verify
Cost-sharing coverage is assumed instead of confirmed
Automatic re-verification during the stay
Must-have
Coverage changes mid-stay and no one notices
Stored check history per resident
Must-have
You cannot show what you knew, and when

Medicare Part A is the Medicare benefit that covers a qualifying SNF stay, and Medicare Advantage is the private-plan alternative to traditional Medicare. The Medicare Savings Program (MSP) is the state program that helps eligible residents with Medicare costs, and QMB (Qualified Medicare Beneficiary) is the MSP category that covers Medicare cost-sharing.

Some tools show only that a resident has Medicaid, not which category, so ask to see the category on screen.

The mistake most SNFs make with eligibility tools: they buy one for the pre-admission check and ignore the mid-stay recheck. Coverage is not a one-time fact. A plan can change, lapse or switch category while the resident is in your building, and a tool that only checks at the door leaves that exposure unmanaged.

Related reads: verifying coverage before a bed is offered and the two-step Medicare Advantage authorization check. If you are comparing tools, see how SNF eligibility verification tools compare.

Staff Scheduling Features

Long term care scheduling software has to match how SNFs schedule: by pay period, by discipline, with overtime in view. Tools built for retail or hospitals often miss at least one of these.

Feature
Tag
What breaks without it
Pay-period schedule grid
Must-have
Managers schedule in weeks while payroll runs in periods
Separate schedules per discipline
Must-have
Nursing, dietary and housekeeping share one unreadable grid
Published versus draft status
Must-have
Staff work from a schedule that is still changing
Hours-before-overtime visibility
Must-have
Overtime is discovered after the shift, not before
Floor-level PDF or Excel export
Nice-to-have
Posted schedules go stale or get retyped

Most scheduling failures are not software failures. The schedule exists, but the written proof that it matches actual staffing does not. Ask every vendor what record a published schedule leaves behind.

Our questions to ask scheduling software vendors goes deeper. For why records matter, read what PBJ submission needs from your schedule. PBJ (Payroll-Based Journal) is the staffing data facilities submit to CMS.

HR and Staff Records Features

SNF HR software should hold the employee record once and let other tools use it. Re-entering staff into the schedule is where errors begin.

Feature
Tag
What breaks without it
Employee directory with access levels
Must-have
Everyone sees everything, or no one sees enough
Per-employee document storage
Must-have
Licenses and I-9s live in a filing cabinet
No re-entry between HR and scheduling
Must-have
Terminated staff stay on the schedule
Credential expiration alerts, not just storage
Verify
An expired license is found at survey

Storing a license number and alerting on its expiration are different features. Some products do the first and market it as the second. Ask the vendor to show a credential expiring and what happens next.

For verification sources, see which database verifies which credential.

Supply Ordering and Inventory Features

Order and inventory management software for nursing homes matters most for the unglamorous failure: a unit runs out of something and no one can say who ordered what.

Feature
Tag
What breaks without it
Orders by category (clinical, housekeeping, dietary)
Must-have
One pile of requests, no accountability
Priority level and requesting floor or resident
Must-have
Urgent items wait behind routine ones
Pending and received status
Must-have
Staff reorder items already on the way
PAR level and auto-reorder
Nice-to-have
Reordering stays manual

A PAR level is the minimum stock quantity you keep on hand. Treat auto-reorder as a convenience, not a requirement, for a small facility with a stable supply list. See how to structure supply categories for the setup logic.

Staff Communication Features

Staff communication tools replace the group text and the clipboard at the nurses’ station. One-way staff announcement software for SNF is enough for most facilities, as long as it targets correctly and keeps a record.

Feature
Tag
What breaks without it
Targeting by discipline, shift and pay period
Must-have
Night staff get day-shift notices
Broadcast log of what was sent and when
Must-have
You cannot prove staff were told
All-staff send with exclusions
Nice-to-have
Managers send individual messages by hand
Clear scope versus emergency systems
Verify
Staff assume a broadcast tool is a code-alert system

A broadcast tool is not an emergency notification system, and vendors should say so plainly. Learn why a broadcast log counts as a record before you score this section.

Maintenance and Life Safety Features

Nursing home work order software feeds survey readiness more than most administrators expect. A work order trail shows that you found a problem and fixed it.

Feature
Tag
What breaks without it
Work order status tracking (open, in progress, complete)
Must-have
Repairs disappear between shifts
Preventive maintenance calendar
Must-have
Equipment is serviced after it fails
Vendor contract expiration dates
Nice-to-have
A service contract lapses unnoticed
PDF or Excel reporting
Nice-to-have
Survey binders are built by hand

Surveyors cite physical environment problems under two tag types. K-tags cite the Life Safety Code, and F-tags cite the federal requirements for nursing homes.

Read how K-tag and F-tag documentation differ to see which records each expects.

Front Desk and Clinical-Adjacent Features

These smaller features decide whether the front desk and the floor stay in sync.

Feature
Tag
What breaks without it
Self-service visitor check-in
Nice-to-have
The front desk bottlenecks at visiting hours
Exportable visitor log
Must-have
You cannot reconstruct who was in the building
Attendance flag for CNAs (certified nursing assistants)
Verify
Call-outs reach the charge nurse late
Nurse reassignment support
Verify
Coverage gaps are fixed by phone
ICD-10 code support (the diagnosis code set used on claims)
Verify
Coding questions go to outside staff

Matching modules: digital visitor log software for SNF, SNF appointment management software, and nurse reassignment software. Treat ICD-10 support as a verify item: ask what the tool does with a code, not whether it displays one.

The Mistake Most SNFs Make With Software Checklists

Most checklists mix EHR, billing, family-portal and operations features into one list. That is a category error. A product that wins a mixed list is usually strong in one category and thin in the rest, and you learn which at implementation.

This checklist deliberately excludes clinical charting, billing and revenue cycle management, payroll, and family engagement. Evaluate those separately, with their own owners. We explain why in deciding EHR and operations software separately.

How to Score the Checklist

Score each feature on three levels. Exists: the vendor can show it. Enforced: the workflow cannot proceed without it. Produces a record: you can retrieve what happened, by date, later.

A feature that exists but is not enforced is optional in practice, and staff skip it under pressure. A feature that is enforced but leaves no record cannot help you at survey or in an audit.

Assign a named owner to every must-have row before you buy. A feature with no owner becomes shelfware, because no one configures it, trains on it, or notices when it stops being used.

Weight must-haves above nice-to-haves, and treat every verify item as a demonstration request. If you issue a request for proposal (RFP, the written document vendors respond to), paste the must-have rows in as requirements and ask for a screen share for each.

SNF Software Features Checklist FAQ

At minimum: admissions tracking with separate clinical and insurance decisions, eligibility verification with mid-stay rechecks, pay-period scheduling by discipline, a single staff record, categorized supply ordering, targeted staff communication, and work order tracking. Each should leave a retrievable record.

An EHR is the clinical charting system. SNF operations software manages the work around it: admissions, eligibility, scheduling, staff, supplies, communication and maintenance. Many facilities run both and evaluate them separately.

Medicare Part A benefit-day visibility, Medicare Advantage authorization fields, Medicaid and QMB category display, automatic re-verification, and stored check history.

Start with eligibility and admissions, then scheduling. Those carry the most revenue and compliance exposure. Nice-to-have items can wait until the must-haves have named owners and are in daily use.

If the vendor creates, receives, maintains or transmits electronic protected health information (ePHI) for you, yes. HHS says a cloud service provider handling ePHI is a business associate under HIPAA (the Health Insurance Portability and Accountability Act), and the parties must enter into a HIPAA-compliant BAA (Source: HHS.gov, cloud computing guidance). Get the BAA signed before any resident data is entered.

Is LTC Apps Right for Your Facility?

LTC Apps is built for you if:

  • You operate a skilled nursing facility or small regional SNF group
  • You want to reduce eligibility denials, streamline admissions, or fix your scheduling workflow without replacing your entire clinical system
  • You are evaluating modular operations software and want something built for SNFs, not adapted from hospital or home health platforms

This is not the right fit if:

  • You are looking for a full clinical EHR with physician-facing charting
  • You need software for assisted living only (no skilled nursing component)
  • You require an enterprise contract with dedicated implementation team from day one

Here is what happens when you request a demo:

  1. A member of our team reaches out within 1 business day to schedule a call
  2. We run a 30-minute live walkthrough of the modules most relevant to your facility
  3. You get access to pricing specific to your facility size and module selection

Most facilities have a clear picture of fit and pricing within one week of reaching out.

Common questions before booking a demo: No long implementation timelines. Most facilities are live on their first module within 2 to 4 weeks. No minimum facility size: we work with single-facility operators and regional groups. If you are mid-contract with another vendor, we can run a parallel evaluation so you are ready to switch at contract end.
